Refunds & cancellations
Eligibility, timeframes, and process for refunds on workshops, coaching, and chart clinics.
Scope
This policy covers paid places on the Momentum & Structure Workshop, one-to-one coaching sessions, coaching blocks, and chart review clinics. It does not cover products we do not sell (software subscriptions, physical goods delivery, or managed trading accounts).
Cooling-off for distance bookings
If you book at a distance (online or by phone) as a consumer, you may cancel within 14 days of booking for a full refund, unless the session date falls inside that period and you ask us to deliver early. If training has already started at your request during the cooling-off period, a reasonable proportion of the fee for services supplied may be retained.
Workshop cancellations
- More than 10 working days before the evening: full refund of the workshop fee.
- 5–10 working days before: 50% refund, or credit toward a later workshop within six months.
- Fewer than 5 working days, or no-show: no refund of the fee; printed materials prepared for you remain non-refundable (£25 of the fee is attributed to materials once printing has begun).
If we cancel a workshop, you receive a full refund or a free transfer to the next available date at your choice.
Coaching and clinics
- Coaching sessions cancelled with at least 48 hours’ notice may be rescheduled once at no charge or refunded in full.
- Cancellations inside 48 hours, or no-shows, are charged in full.
- Chart clinics follow the workshop schedule bands above, scaled to the clinic fee.
- Unused sessions in a paid coaching block remain refundable on a pro-rata basis if cancelled with 48 hours’ notice before the next booked hour; sessions already delivered are non-refundable.
Deposits
Where a deposit is taken to hold a company group booking, it is applied to the final invoice. Deposits become non-refundable within 10 working days of the agreed date if the group cancels, unless we rebook an equivalent engagement within four weeks.
Work already started
Once a live session has begun, that session fee is non-refundable. Partial refunds for multi-hour programmes consider hours not yet delivered.
Process and timing
Email hello@smartbizapi.digital with your name, programme, date, and reason. Approved refunds are returned by the original payment method within 14 working days of approval. Bank transfer refunds may require confirmation of account details.
Rescheduling
You may request one complimentary reschedule for a workshop place if notice meets the “more than 10 working days” band and capacity exists. Further changes may incur a £40 admin fee.
