How Smartbiz API collects, uses, and retains personal data for training enquiries and sessions.

Data controller

Data we collect

  • Identity and contact details you submit (name, email, phone if provided)
  • Enquiry content (programme interest, preferred dates, message text, charts you voluntarily send)
  • Technical data needed to operate the site (such as essential cookie identifiers)
  • Optional analytics data if you accept analytics cookies

We do not ask for payment card numbers through this website.

Purposes and lawful bases

  • Responding to enquiries and administering bookings (contract / steps prior to contract)
  • Delivering workshops and coaching, including session notes (contract)
  • Improving the site where analytics are consented (consent)
  • Meeting legal and accounting obligations (legal obligation)

Retention

Enquiry records are kept up to 24 months after last contact unless a longer period is required for accounting or dispute resolution. Booking and invoice records are retained for six years. Charts you send for sessions are deleted within 90 days after the related programme unless you ask us to keep them for ongoing coaching.

Sharing

We use processors for email and hosting under written agreements. We do not sell personal data. We may disclose information if required by law.

International transfers

If a processor stores data outside the UK, we use appropriate safeguards such as UK International Data Transfer Agreements or adequacy regulations where available.

Your rights

Under UK GDPR you may request access, rectification, erasure, restriction, objection, or data portability where applicable. You may withdraw cookie consent at any time via browser controls and by clearing the stored consent key. You may complain to the Information Commissioner’s Office (ico.org.uk).

Children

Programmes are aimed at adults. We do not knowingly collect data from anyone under 18.
